Booking questions: answers for clients

/ Help for customers / Booking questions: answers for clients

The questions we are asked most often while a booking is being arranged, in the order they usually come up. If your question is not here, send us a message from your booking page and a person will answer it.

1 While you are waiting on the act

We normally expect acts to reply within 24 hours. Replies can take a little longer at weekends, when many of our musicians are performing, but we chase them up if we haven’t heard within a few days.

If you haven’t heard anything after a reasonable amount of time, send us a message and we’ll check in with the act for you, or suggest some alternatives.

Our musicians generally prefer to keep their personal contact details private until a booking is confirmed. Until then we’ll pass messages between you and the act. Just send them from this page.

Once the contract has been signed and your booking fee paid, the act’s contact details are released to you automatically.

If you’d like to go ahead with a quote you’ve received, just send us a message to say so.

We’ll then send you a booking form to collect the details we need to create your contract, along with what happens next.

2 Your booking form has been sent

Your booking is confirmed once you and your act have both signed the contract and your booking fee has been paid.

The next step is yours: please complete your booking form and submit it, so we can create the contract.

There’s nothing to pay until your contract has been created and signed.

Complete and submit your booking form so we can prepare the contract. Once it’s signed, you’ll be able to pay your booking fee from this page.

3 The contract is with your act

Not quite yet. Your contract is with the act at the moment, who is checking the details before signing.

Once they’ve signed, we’ll send it to you to check and sign. Your booking is confirmed once the contract has been signed and the booking fee paid.

We’re keeping an eye on it, but message us any time if you’d like an update.

4 The contract is with you

If you spot an error, or something has changed since you filled in your booking form, please let us know as soon as possible.

Small corrections can usually be made quickly. Larger changes (the date, the times, the venue, or what the act is performing) need checking with your act first, and may mean issuing a new contract.

Your contract is electronic, so there’s nothing to print. Read it through, then press Agree Contract Now. You’ll be asked to tick to confirm you accept the terms before that button unlocks.

No. The whole booking process is completed online.

5 Your payment is due

No problem. Under the payment button, choose Can’t pay by card? Click here for alternative payment methods. You can then pick:

  • Pay by bank transfer: our account details and your booking reference are shown on screen.
  • Pay by cheque: the postal address and reference are shown on screen.
  • Pay by invoice: press Download Invoice for a copy to pass on to whoever pays.

Whichever you choose, press Confirm I’m Paying This Way so we know to expect it.

The booking fee is normally due within 3 days of the contract being signed.

If you need longer, because the payment has to go through a finance department for example, just tell us how long your process usually takes, and we’ll set the due date to match.

6 You are booked

You can access your receipt by clicking the Invoice button at the top of this page, next to your contract.

Now that your booking is confirmed, your act’s contact details have been released to you.

Your main contact, whether that’s the performer, the band leader or a manager, is shown on your contract and on your booking page. You’re welcome to contact them directly from here on.

Send us a message through your booking and let us know when you last contacted your act. We’ll follow up with them and ask them to get back to you.

Please bear in mind that replies can be slower at weekends, as our musicians are often performing and may not get back to their admin until the following week.

The remaining balance is paid directly to your musician, not to us.

Each act has their own payment terms, but bank transfer is generally preferred, and payment is usually due at least a week before the event. Your act will invoice you directly and confirm when it’s due.

Most musicians would rather be paid by bank transfer before the event. It avoids the practical difficulty of handling and banking a large amount of cash on the night.

If you do need to pay in cash, please agree it with your act in advance.

Please contact us as soon as possible with details of the changes you’d like to make.

We’ll check whether your act can accommodate them and amend your contract where necessary. Additional sets, extra musicians, equipment or specific song requests may involve an additional charge.

Please contact us as soon as possible if you need to cancel.

Your contract sets out the cancellation terms and, depending on how close the event is, cancelling may mean the remaining balance is still payable to the act.

If your event is still some way away, we can discuss the circumstances with your act and see whether they’re willing to agree a cancellation fee instead.

Still stuck? Send us a message from your booking page, or contact us.
