Booking questions: answers for acts

/ Help for members / Booking questions: answers for acts

The questions our musicians ask most often while a booking is being arranged. If yours is not here, send us a message from your booking page and a person will answer it.

1 You have been asked to quote

Just let us know what you need to know and we’ll go back to the client for the details.

Let us know as soon as possible and we’ll take you off the booking. Where the client still needs someone, we’ll look for an alternative performer for them.

2 The booking form is with the client

A booking is confirmed once you and the client have both signed the contract and the client’s booking fee has been paid. We’ll let you know as soon as the contract is ready for you to sign.

We’re waiting on the client at the moment: either for their decision, or for the booking form that gives us the details we need to create the contract.

We normally give them a few days and chase after three if we haven’t heard back, and we’ll let you know if there are any issues.

If you receive another booking request for the same date after five days, let us know, and we can then give the client a short deadline to decide.

3 The contract is with you

If you spot an error, or something doesn’t match what you agreed with us, let us know as soon as possible.

We’ll check the details and make any necessary amendments before the contract is finalised.

4 The contract is with the client

The contract is with the client at the moment, who is checking the details before signing.

Once they’ve signed and the booking fee has been paid, the booking will be confirmed and we’ll let you know.

We’re keeping an eye on it, but get in touch any time if you’d like an update.

You and the client have both signed, so the last step is the client’s booking fee. That is what confirms the booking.

It’s normally due within 3 days of the contract being signed, and we’ll let you know as soon as it has been paid. If anything holds it up, we’ll tell you.

5 You are booked

Once your booking is confirmed, contact the client to introduce yourself and agree the arrangements for the final balance.

We recommend sending your invoice 2-4 weeks before the event, with payment due at least a week beforehand. That gives you time to flag any payment problem with us before the booking takes place.

We’ll prompt you too. About six weeks before the event we’ll ask you to contact the client and send your invoice, remembering your bank details and a payment due date. Your fee and the event details come with that message.

About a month before, we’ll check back and ask you to reply confirming that you’ve spoken to the client, that final payment is organised, that you know exactly where you’re going, and that any PLI or PAT paperwork has gone to the venue.

If a client asks for something that isn’t included in the contract, send us a message with the details.

Small changes that you’re happy to accommodate can usually be added to the contract. For larger ones (additional musicians, extra sets or specific song requests) let us know what’s involved and any additional fee that applies. We may need to re-quote the booking and arrange a new contract.

Contact us as soon as possible.

We’ll try to reach the client and find out what’s happened. In many cases there’s a simple explanation, such as an email gone to spam, or the client away. We’ll help you deal with it before the event wherever possible.

If you can no longer fulfil a confirmed booking, contact us as soon as possible and explain the situation.

A confirmed booking is contractually binding, so we’ll need to find a suitable replacement for the client. Please help by finding another performer who can take the booking on for the same fee. Once a replacement has been agreed with the client, we can arrange a new contract with them.

If the client does not accept the replacement, or a suitable replacement cannot be found, you may be responsible for any costs or fees that Last Minute Musicians has to refund as a result.

If you have to pull out because of illness, or something genuinely outside your control, please tell us straight away.

Still stuck? Send us a message from your booking page, or contact us.
