Platinum Jazz Band – Booking Terms & Conditions 1. Booking & Payment A 25% deposit is required to secure your booking. The remaining balance is due no later than 7 days before the event date. Payment is accepted by BACS transfer only. Bank details will be provided on your invoice. 2. Cancellation Policy Cancellations must be made in writing via email. If cancellation occurs within 14 days of booking, a full refund will be issued. If cancelled after 14 days, the deposit is non-refundable. If cancelled within 3 months of the event date, the full balance is payable, regardless of the time elapsed since booking. 3. Musician Lineup Requests for specific instruments can be made and will be accommodated where possible, however, due to illness or scheduling conflicts, availability of individual performers cannot be guaranteed. We reserve the right to use replacement (‘dep) musicians when necessary. 4. Performance Requirements The client must provide: A safe, weather-protected performance area (especially for outdoor events). Adequate power supply for amplified performances. A secure space for changing and equipment storage. Food and soft drinks for performers (especially for events over 2 hours or spanning mealtimes). 5. Additional Time on the Day Additional performance time on the day of the event is charged at £90 per musician per hour (or part thereof). While we will accommodate unplanned extensions where possible, we cannot guarantee availability beyond the agreed finish time. Any additional time must be agreed with the bandleader on the day and paid immediately via the method specified on the invoice. 6. Insurance & Liability Each musician is contracted on a self-employed basis and holds their own Public Liability Insurance (PLI) and PAT Test Certificates where necessary. Platinum Jazz Band will not be liable for any damages, losses, or injuries resulting from third-party actions or venue-related issues. We are not responsible for cancellations or delays caused by force majeure, including extreme weather, venue restrictions, or other unforeseeable events.

Technical Info

What are your basic technical requirements?

Our flexible lineups mean we can fit in pretty much any space! A flat, stable performing area is needed with access to power, but there's nothing specific we need in terms of size or shape of the performance area. If you're unsure, let us know the space you're working with and we'll let you know if it'll be okay - 99% of the time it will be!


Do you provide sound and lighting equipment?

We provide all our own musical equipment, but don't have a PA system or lights. We've found that any event big enough for us to need a PA system probably requires a full AV team anyway, such as a corporate awards evening or a large wedding with 300+ guests. We're always happy to liaise with your AV team ahead of time so everything runs smoothly on the day.


What information do you require about a venue?

Information on parking and loading is great to have in advance, and depending on how rural the venue is, a What 3 Words link is great for finding hidden entrances down country lanes! Please also let us know when booking if your venue has a sound limiter or amplifier restrictions, as this may dictate or at least steer us towards certain lineups over others. However, there's not a single venue we won't play at and we've got experience of making some difficult venues work while respecting their requirements and restrictions.


Can you provide a Spotify/DJ service before and between your sets?

As we don't include a PA system, we're not able to provide this, but typically this is something an evening pop band would provide at a wedding, or again if you have an AV team or there's an in-house system at your venue, they'll be able to take care of this.

What is the best gig you've ever done and the best venue you've ever played at?

It's clichéd, but we love every gig we do, and the variety of venues we get to see is what makes this job so much fun! One day we could be playing at the Dorchester, the next day we're setting up in a tipi out in the countryside!


Which artists have you been most influenced by, who is your favourite artist and what is the greatest song of all time?

We’ve been most influenced by legends like Sarah Vaughn, Dave Brubeck, and Miles Davis. Our favourite? It has to be the incredible Ella Fitzgerald; she always played with great bands and brought such incredible energy to her live shows. And the greatest song of all time? “Fly Me to the Moon” — timeless, romantic, and always a crowd-pleaser.


What's your previous experience and how did you start gigging?

Collectively, we've all played hundreds, thousands of gigs ranging from functions to performing our own compositions at top London Jazz venues, right through to professional touring theatre shows internationally.


What's your favourite type of event to play at?

We love the variety, it's great fun to play at huge iconic venues in front of hundreds of attendees, but the intimacy of small weddings out in the countryside or overlooking the sea can't be beaten!


How do your band lineups work compared to other bands?

We tailor every lineup to your requirements. If you're passionate about a certain combination of instruments, let us know! Can't tell a saxophone from a double bass? Leave it to us and we'll use our years of event experience to put together the perfect lineup with the right energy and vibe for your booking.

Performance Info

What are your typical setup and performance times?

Our arrival time is one hour before the first set, but it only really takes us about 20 minutes to get ready, depending on the lineup. You'll have noticed just how flexible our lineups are, too, so if you have any strong preferences on instruments, let us know. Alternatively, you can leave it entirely up to us and we'll hand-pick the best lineup based on your venue and vibe you're going for!

Our typical set times are 2x45s across 2 hours, but additional sets or earlier arrival times can be easily added.


Are you happy to perform outside?

Yes, we love performing outside! We'll still need access to power in most cases (let us know if that's a problem and we can make sure we're prepared!) and a flat level playing area. Of course, make sure you've thought about a wet-weather backup plan, and we can move indoors quickly if we need to!


Do the clients have a say in what you play or is it a set repertoire list only?

We've collectively got decades of experience playing public jazz gigs as well as countless private events, so we usually advise keeping things open so we can adapt on the go. However, music choices are so important for an event, so if you have any ideas or suggestions, let us know!


How do previous clients most commonly describe your performances?

We're often praised for bringing a different, more modern and gimmick-free look to the often overly clichéd 'vintage' jazz band lineup. Our musicians are all busy jazz artists in their own right, so clients really enjoy the real step-up in performance quality that we give.
