When booking sound engineers it's a good idea to arrange the event as early as possible, particularly during busy times of the year. However, many companies also accept last minute bookings, and we have successfully arranged events for clients with just a few hours' notice.

What does a sound engineer do at a live event?

Accepted Answer

A sound engineer is responsible for how everything sounds to the audience. At a typical event that means setting up and testing the PA, positioning speakers and microphones, running a soundcheck with the performers, mixing the sound live during the performance, and packing down afterwards. They also deal with the problems that arise on the night, from feedback to a failed microphone.

For a small event with one act, the band often handles their own sound. For anything with multiple performers, speeches, a large room or a complicated running order, a dedicated engineer makes a substantial difference. Engineers listed here mostly work in live music and weddings, with a smaller number covering corporate events and conferences, so ask about experience with your type of event.

What is the difference between a sound engineer, a sound technician and a PA technician?

The terms overlap and are often used interchangeably, but there is a rough hierarchy. A sound engineer mixes the sound and takes responsibility for how the event sounds. A sound technician usually means someone who sets up, tests and maintains the equipment, and who may or may not mix. A PA technician is more specifically about the public address system, and the term is common in conference and corporate work.

In practice, for most events you are booking one person who does all of it. The distinction matters more on larger productions, where the roles are separate and staffed individually. When enquiring, describe the event rather than trying to name the role: say how many performers, how big the room and whether there are speeches, and the engineer will tell you what is needed.

What is a FOH engineer and what is a monitor engineer?

These are the two main live sound roles on larger productions. FOH stands for front of house, and the FOH engineer mixes what the audience hears from a desk out in the room. The monitor engineer mixes what the performers hear on stage, either through wedge speakers or in-ear monitors, which is a different mix and a different job.

On most events one engineer covers both from a single position. Separate FOH and monitor engineers become necessary for larger stages, multiple bands, or acts with complex in-ear requirements, typically at festivals and bigger corporate productions. A head of sound is the person overseeing the whole sound operation on a production of that size. If you are unsure which you need, describe the production and let the engineer advise.

Do I need a sound engineer, or will the band handle it?

Most function bands and solo acts bring their own PA and mix their own sound, so for a straightforward wedding or party with one act you usually do not need a separate engineer. The band sets up, soundchecks and runs their own levels from the stage, which works well when there is one performer and a predictable running order.

An engineer becomes worth booking when the event is more complicated: several acts sharing a stage, a mix of live music and speeches, a large or difficult room, or an event being recorded or streamed. It is also worth it when the band is large enough that mixing from the stage is genuinely hard. If you are unsure, describe the running order to the act first and ask whether they recommend one.

Do sound engineers supply the PA and equipment, or just operate it?

Both arrangements are common, and it is the first thing to establish. Some engineers are freelance operators who arrive to run equipment that is already in place, whether that is the venue system or a hired rig. Others supply a full PA package, mixing desk, microphones, stands and cabling as part of the booking, effectively acting as a sound hire company with an operator included.

Ask specifically which you are getting, and if equipment is included, ask what size of system and what it covers. If you are hiring the PA separately, tell the engineer what has been specified so they can confirm it is suitable before the day rather than on it. Engineers who supply their own equipment usually cost more, but it removes a supplier and a point of failure.

When should I hire a sound engineer for a wedding or party?

The usual triggers are multiple suppliers and a mixed running order. If you have a ceremony with readings, a drinks reception with a duo, speeches over a PA and a band in the evening, an engineer joins those together so each part works without someone scrambling between them. They also handle the microphones for speeches, which is where most weddings have sound problems.

For a wedding with one band and no speeches through a PA, an engineer is usually unnecessary. Where it is genuinely worth it is a large marquee, an outdoor ceremony, a venue with awkward acoustics, or a day where you want the whole thing to run without anyone from the wedding party managing it. Book them for the full day rather than just the evening if the daytime has any amplified elements.

Do I need a sound engineer for a conference or corporate event?

Usually yes, and more often than for a wedding. Conferences involve lapel and handheld microphones, presenters who move, video and slide audio, panel discussions and often a hybrid or streamed audience, all of which need someone managing levels in real time. A failed microphone during a keynote is far more visible than one during a party.

Corporate events also tend to have tighter schedules and less tolerance for problems, so an engineer who has done the format before is worth more than one who has not. Ask about experience with conferences specifically, and about whether they can handle the AV side as well as the audio. Tell them the number of speakers, the microphone types you need and whether anything is being recorded or streamed.

Can a sound engineer work with my venue's in-house system?

Yes, and this is a common booking. Many hotels, conference centres, theatres and larger venues have a fixed PA installed, and hiring an engineer to operate it is cheaper than bringing in a full system. The engineer will want the technical specification in advance and, where possible, access to the venue beforehand or a longer setup window on the day.

The thing to check is whether the venue permits it. Some venues require their own in-house technician to operate their system, or charge for the privilege of using it, and this is worth establishing before you book anyone. Ask the venue directly what is included, what is chargeable and whether an external engineer is allowed. Then pass the technical specification to your engineer so they can confirm it suits your event.

Will a sound engineer help with a venue sound limiter?

Yes, and this is one of the strongest reasons to book one. A limiter cuts the power when the sound exceeds a set level, and it is usually triggered by low frequencies from a kick drum or bass. An experienced engineer manages the mix so the level sits under the threshold, which is far more effective than asking a band to play quietly.

Give the engineer the limiter threshold in decibels rather than just saying the venue has one, and find out where the sensor is placed, as a meter at the stage behaves very differently to one at the back of the room. Some engineers will also visit or ask for a test in advance where the venue allows it. A limiter cutting mid-set is the most avoidable problem at an event, and an engineer is how you avoid it.

How long does a sound engineer need on site?

Setup usually takes one to three hours depending on the size of the system and the complexity of the event, and packdown takes about half that. For a straightforward event with a small PA, an engineer might arrive three hours before guests. For a conference or a multi-act show, they may need most of the day, and sometimes access the evening before.

Bookings are normally quoted either as a day rate or for a defined window, so agree what is included and what happens if the event overruns. Venue access is the practical constraint: tell the engineer what time you can get into the room, as a late load-in is the most common cause of a rushed soundcheck. Where the schedule is tight, an earlier access slot is worth more than extra equipment.

What information does a sound engineer need before the event?

The essentials are the venue and room size, the guest numbers, the running order with timings, and what is being amplified: how many performers, how many microphones, whether there are speeches, and whether any audio is being played from a laptop or a phone. If a band is involved, a stage plan and input list from them saves a great deal of time.

Also tell them about anything that affects the setup: the load-in access and parking, the power available, any sound limiter and its threshold, and whether the event is being recorded or streamed. If the venue has an in-house system, send the technical specification. Engineers would rather have too much detail than turn up to a surprise, and most will send a checklist if you ask.

Can I hire a sound engineer for a studio recording or mixing session?

Live and studio work overlap less than people expect, and the best live engineer is not necessarily the right person to mix a record.

That said, some live engineers do offer recording of a live event, which is a different thing again: capturing a performance as it happens, either as a multitrack for later mixing or as a straightforward stereo record. If you want your event recorded rather than a studio session, say so when enquiring, as it changes the equipment they bring and usually the price.

Many can, and on smaller events it is common for one technician to cover sound, basic lighting and screen or projector playback. This is usually cheaper and simpler than booking separate suppliers, and it works well when the lighting requirement is a few fixtures and some control rather than a designed show.

For anything more involved, a dedicated lighting or AV technician is the better option, and the two will work alongside each other. When enquiring, be specific about what you need beyond audio: a projector and screen, stage lighting, uplighting, a video feed or a stream all require different equipment and different skills. Ask what the engineer covers as standard and what they would bring in a second person for.
